Which one fits

Where each one makes more sense

SagaMail suits you if

  • You have several mailboxes. A yearly plan with pooled storage costs less per person as the team grows.
  • You mainly need mail, calendar, contacts and files. You are paying for Workplace but not using Writer, Sheet or Cliq.
  • You want control and visibility. Admin panel, delivery logs, quarantine, sending limits and two-factor login.
  • You want one yearly price and someone local to call. Our support team is in India.

Zoho may suit you better if

  • Your team works in Writer, Sheet, Show, Cliq or Meeting. Workplace bundles them. SagaMail does not.
  • You need retention, eDiscovery or DLP. Mail Premium and Workplace Professional include them. We do not yet.
  • You are one to five people on Mail Free and happy with web and mobile only. It costs nothing.
  • You use Zia AI today. Our Email AI is not released yet.

Migration guide

Six steps from Zoho Mail to SagaMail

Do them in this order. Your Zoho mailbox keeps working until you switch the mail records in step 4, so nobody loses mail while you set up.

  1. Create the same mailboxes in SagaMail

Add your domain in the SagaMail admin panel as an external domain and create each address you use at Zoho, with the same spelling. Add your aliases and forwards too. The DNS records you need for step 4 are on the domain page.

  2. Switch on IMAP in Zoho, then copy your old mail

The SagaMail migration tool reads your mail from Zoho over IMAP, so IMAP has to be on for each mailbox you are moving:

    1. Sign in to Zoho Mail and open Settings.
    2. Open Mail Accounts and choose your primary email address.
    3. Tick IMAP Access in the IMAP section and save.

If two-step sign-in is on, create an app-specific password in your Zoho account and use that instead of your normal password. If you are a user in an organisation, your Zoho admin may have restricted IMAP and will need to allow it.

Mail Free does not include IMAP, so the migration tool cannot connect to it. Contact us before you start and we will suggest the simplest way to move that mailbox.

Paid domain account, global (zoho.com)imappro.zoho.com993, SSL/TLSYour full email address

Zoho shows the exact server for your account under Settings, Mail Accounts, Server Configuration Details. If it differs from the table, use what Zoho shows.

    Open the migration tool
  3. Find where your domain's DNS is managed

Mail records live wherever your domain's DNS is hosted: your domain registrar, your hosting provider or a DNS service. It is often not Zoho. Open that account and find the DNS records for your domain. Change mail records only.

Do not change your nameservers and do not touch the A or CNAME records that run your website. That keeps the site online throughout.

  4. Switch the mail records to SagaMail

Delete the Zoho MX records and add the ones SagaMail shows for your domain. A domain can have only one SPF record, so edit the existing one to include SagaMail and remove the Zoho entry instead of adding a second record. Add the SagaMail DKIM key, and delete Zoho's DKIM record once the move is complete. New mail starts arriving in SagaMail once the change reaches the internet.

Remove, India data centre: mx.zoho.in, mx2.zoho.in, mx3.zoho.inRemove, global: mx.zoho.com, mx2.zoho.com, mx3.zoho.comRemove from SPF: include:zoho.in or include:zoho.comAdd: MX values from your SagaMail domain pageUpdate: SPF and DKIM from your SagaMail domain page
  5. Wait, test, then catch up

The change usually reaches most senders within a few hours and can take up to 48 hours. Send test mail to and from your SagaMail address. Mail that reached Zoho just before the switch can be copied with a second pass of the migration tool. Ask support if you want help with that.

  6. Move your devices, then close the old plan

Remove the Zoho account from your phone and mail apps, and sign in with SagaMail on webmail, desktop and mobile. Check the mailbox over a few days. Most paid Zoho plans are billed annually, so check your renewal date before you cancel. Before you do, export your contacts and calendar, and download anything you keep in WorkDrive or Writer, because the mail copy does not include them.

Questions

Before you switch

Do I have to move my domain?

No. Your domain can stay registered wherever it is now. You add it to SagaMail as an external domain, verify it, and change only the mail records.

Will my website go offline?

No. Email and website use different records. You replace the mail records, and your nameservers and website records stay as they are.

I am on Zoho Mail Free. Can I still migrate?

Yes, but not with the standard tool, because Mail Free does not include IMAP access. Contact us before you start and we will suggest the simplest way for your mailbox.

Will I lose old emails?

No. The migration tool copies your messages and folders into SagaMail and leaves the Zoho mailbox untouched. Keep the Zoho plan until you have checked everything arrived.

What about contacts, calendar, tasks and notes?

They are not part of the mail copy. Export contacts and calendars from Zoho and import them into SagaMail Contacts and Calendar. Tasks and notes need to be exported and kept separately.

What about WorkDrive, Writer and other Zoho apps?

Files and documents are not part of the mail copy. Download what you need from Zoho and upload it to SagaMail Drive, or keep using those Zoho apps on their own.

Can I keep some mailboxes at Zoho for now?

Mail for one domain goes to one provider at a time, because the MX records point to a single place. Move the whole domain together, or use a different domain for the mailboxes you keep.

Is the migration tool free?

Yes, for SagaMail customers. You need a SagaMail mailbox already created to use it.
